Starting out

The demo shop

Choose Try the demo for a made-up supermarket with 90 days of sales. The staff PIN is 1234. Nothing in the demo touches your business, and it is never backed up or synced.

Setting up

Choose Set up my business. Six short steps, and only the first two are required.

Recovery phrase

After setup the app shows 24 words. Write them on paper and keep them safe. They are the only way back into your data if the device is lost, damaged or reset.

Starter products

Prices are rough shelf prices to edit. Stock and cost start at zero, so add real cost when you receive stock or profit will look too high. Repeating a pack is safe, because items you already have are skipped.

Finding your way around

Five tabs: Sell, Products, Customers, Reports and More. You only see what your role allows, so a cashier not seeing reports is by design.

  • Choose your name and enter your PIN. Five wrong PINs lock that person out for 30 seconds, doubling each time up to 15 minutes.
  • The app locks after 5 minutes idle on the till and 15 minutes elsewhere.
Selling
  1. Find the item: tap, search by name or SKU, or scan. A USB or Bluetooth scanner works like a keyboard. Press F1 to focus the search box.
  2. Set the quantity. Items sold by weight or volume open a decimal keypad.
  3. Tap a line to change its quantity, price or discount.
  4. Tap Pay, choose the method and confirm.
  5. Print or share the receipt.

Payment

  • Cash shows change due.
  • Transfer, card and mobile money record the method for reports.
  • Split payment: add one method, then another for the rest.
  • Credit puts the amount on a customer's account and respects their credit limit.

Voids and refunds

A void cancels a sale that should not have happened. A refund returns money on a sale that did happen. Both need a reason and permission, and both are logged. Discounts, shipping and price changes also need permission.

Holding a sale

Hold parks a basket so you can serve someone else.

Products and stock

Go to Products > Add a product. Name and selling price are essential. Add cost to see profit, a category, barcodes, a unit and a low stock level.

For sizes or colours, add variants. Each has its own price, barcode and stock.

Stock only changes through recorded movements: opening, receive, sale or refund, adjust or count, and loss. Profit uses the average cost from what you paid at each receipt.

Customers and credit

Add a customer with a name and optional phone, email and credit limit. The Customers tab shows Owed to you and You owe. Open a customer to see history, record a payment or adjust their balance. Anyone past their limit is flagged Over limit.

Suppliers and purchase orders

Raise a purchase order, then receive it when goods arrive. Stock goes up at the cost you enter, and the supplier's balance goes up if you have not paid. Record payments from the supplier's page.

Expenses

More > Expenses > + Expense. Choose amount, category, how it was paid and who to. If a shift is open and you paid cash, mark it as taken from the till so the drawer count stays right.

Shifts and the cash drawer
  1. Open with the cash in the drawer.
  2. Sell as normal. Cash sales, refunds, till expenses and pay-ins and pay-outs move the expected cash.
  3. Close by counting the drawer. Counterbook shows the expected amount and the difference.

Shortages and overages are recorded, not hidden.

Invoices and quotes

Turn on invoices in Settings to create quotes and invoices with terms and due dates, record payments against them and share a PDF. Open balances appear in Reports.

Reports

Pick a period from today to 90 days. You get revenue, gross profit and net profit with the change against the previous period, a chart of sales by hour or by day, stock value, what customers owe, open invoices, discounts, refunds and tax, plus rankings for products, categories, payment methods, expenses and staff. Profit figures need the profit permission.

Staff and permissions

More > Staff. Give each person a name, a role and their own PIN. Never share one PIN. Deactivate people who leave rather than deleting them.

The activity log

For owners, managers and accountants: More > Activity log.

  • Watch list: voids, refunds, big discounts, price changes, stock losses, no-sale drawer opens, repeated wrong PINs and reprints.
  • By person: who did how much of what.
  • Log: every entry, filterable by period, action, person and text.
  • Integrity check: entries are chained, so changing or deleting an old one is detected.

Entries cannot be edited or deleted in the app.

Importing and exporting

More > Import brings in products, customers, suppliers or stock counts from CSV or Excel. You match columns, read a dry run, then confirm.

More > Export data writes Excel, CSV (zipped with a checksum manifest) or JSON for a date range. Cells starting with =, +, - or @ are neutralised.

More than one device
  • Web till: turn on sharing and any phone, tablet or computer on the same Wi-Fi can open the address or scan the QR code and sell from a browser.
  • Join a business: install Counterbook on a second device, choose Join a business on this network and enter the hub's address and pairing code.

Devices catch up when they reconnect, and offline changes are merged with the latest edit of each field winning. A device restored from a backup stops syncing and has to join again.

Settings and appearance

More > Settings holds business details, tax, receipts, invoice terms, low stock defaults, hardware and appearance. Choose Light, Dark or System and a colour for your business. The colour is kept on each device.

Counterbook is free and shows one small labelled promotion at the foot of More, never on the till. Show house ads turns it off.


Teach staff in the demo shop first

Open the demo with PIN 1234 so mistakes cost nothing. Each module ends with a check, and the trainee moves on only when it passes. A cashier is ready for the till after about 80 minutes.

Module 1. Signing in and getting around (10 minutes)

Goal: sign in, find each tab, lock the screen.

  1. Choose your name and enter the PIN.
  2. Visit each tab. Missing entries for your role are correct.
  3. Wait for the screen to lock, or sign out, then sign in again.
  4. Enter a wrong PIN three times on purpose, then the right one.

Check: the trainee signs in without help and names the five tabs.

Rule to teach: your PIN is yours, lock when you step away, and five wrong PINs lock you out.

Module 2. Making a sale (20 minutes)

Goal: complete a cash sale, a split payment and a held sale.

  1. Open a shift if asked.
  2. Add three items by tapping, searching and scanning.
  3. Change one quantity and remove one line.
  4. Pay cash with a larger note and read the change aloud.
  5. Make a second sale paid half by transfer, half cash.
  6. Hold a third sale, serve a fourth, then resume the third.

Check: three completed sales and one held sale picked up again, with correct change.

Module 3. Shifts and the cash drawer (15 minutes)

Goal: open and close a shift and explain the difference.

  1. Open a shift with a float of 5,000.
  2. Make two cash sales.
  3. Pay a small expense from the till.
  4. Close the shift and compare the count with the expected amount.
  5. Close a second shift 500 short on purpose and read the report.

Check: the trainee says why expected cash is not just float plus sales.

Rule to teach: shortages are recorded under your name, so count honestly.

Module 4. Customers, credit, refunds and voids (20 minutes)

Goal: sell on credit, take a payment and fix a mistake.

  1. Add a customer with a 20,000 credit limit.
  2. Sell 8,000 of goods on credit.
  3. Record a 3,000 payment and check the balance is 5,000.
  4. Try to sell 30,000 on credit and read the refusal.
  5. Refund one item and void a sale made by mistake.

Check: the balance matches by hand, and the trainee explains void versus refund.

Rule to teach: voids, refunds, discounts and reprints appear on the owner's watch list with your name.

Module 5. Products and variants (20 minutes)

Goal: add and price products correctly.

  1. Add a product with name, price, cost, category, barcode and low stock level.
  2. Add a product sold by the kilogram and sell 1.25 kg.
  3. Add a product with sizes using variants.
  4. Edit a price and find the change in the activity log.
  5. Add a starter pack and see existing items skipped.

Check: the trainee says what happens to profit if cost is left at zero.

Module 6. Receiving and counting stock (20 minutes)

Goal: keep the numbers on screen equal to the shelf.

  1. Raise a purchase order for three products.
  2. Receive it with real costs and read the stock history.
  3. Count one shelf with a difference of two and read the adjustment.
  4. Record a loss with a note.

Check: every stock change has a reason, and the trainee says why that matters.

Module 7. Expenses and reading reports (20 minutes)

Goal: record money going out and understand the reports.

  1. Add three expenses in different categories and one from the till.
  2. Open Reports for this month and find revenue, gross profit and net profit.
  3. Find the best selling product and the weakest category.
  4. Compare today with yesterday using the percentage badges.

Check: the trainee explains that net profit is gross profit minus expenses.

Module 8. Imports, exports and checking the books (20 minutes)

Goal: move data in and out safely.

  1. Download the product template from More > Import, add two rows, import and read the dry run.
  2. Export last month's sales as Excel.
  3. Open the export and find the formula-protected cells.

Check: the trainee says why the dry run matters.

Module 9. Staff, permissions and the activity log (30 minutes)

Goal: give each person the right access and spot trouble.

  1. Add a cashier with their own PIN, sign in and note what is missing.
  2. As manager, find yesterday's voids in the activity log.
  3. Filter to one person and turn on Alerts only.
  4. Run the integrity check.
  5. Deactivate the test cashier.

Check: the trainee names three suspicious patterns: many voids by one person, large discounts, repeated wrong PINs, frequent no-sale opens, or price changes just before a sale.

Rule to teach: nobody should be able to hide what they did, and nobody gets more access than their job needs.

Module 10. Backups, recovery and new devices (30 minutes, owner)

Goal: be certain that a lost device does not lose the business.

  1. Write down the recovery phrase and have a second person check it.
  2. Run Back up now with a password and save a copy to USB.
  3. Turn on daily automatic backup.
  4. Restore from the file on a second device.
  5. Sign in there with a staff PIN to prove logins came across.
  6. Optional: connect Google Drive and upload a backup.

Check: the owner sells one item from the restored device, then stores the phrase and USB drive safely.

Final test and teaching tips

Final practical test (30 minutes)

The trainee completes this list without help: sign in, open a shift with a 10,000 float, sell five items for cash, one on credit and one with a split payment, refund one item, take a 2,000 payment on a credit account, pay a 1,500 expense from the till, close the shift and explain the difference, then find their own work in the sales history. Pass mark is everything correct with no coaching. Repeat failed modules and test again.

Teaching tips

  • Let them make mistakes in the demo and show how to fix each one.
  • Teach the rules as much as the buttons.
  • Keep a one page cheat sheet at the till.
  • Run a ten minute refresher every month using real log examples with names removed.

Backup and recovery guide

Three things to understand

  • Recovery phrase: 24 words shown at setup. It unlocks your data and any phrase-protected backup.
  • Backup file (.cbbak): an encrypted copy of everything, including staff and their PIN logins.
  • Backup password: an alternative you choose when backing up, so the file opens on any device without the phrase.

Elevven11 holds no copy of your data or keys, and there is no reset link.

Set up once (15 minutes)

  1. Write the 24 words on paper and have someone read them back. Do not photograph them.
  2. Keep the paper away from the device.
  3. Open More > Backup and export > Back up now and pick phrase or password protection.
  4. Save a copy to a USB drive.
  5. Turn on Automatic backup: every 6 hours, daily or weekly. It runs while the app is open and always uses the phrase.
  6. Optional: connect Google Drive for an off-site copy.

Keep three copies, on two kinds of storage, with one away from the shop.

Google Drive

Backups upload to a Counterbook backups folder in your own Drive. Counterbook asks only for the drive.file permission, so it sees just the files it created. Files are encrypted on your device first, so Google holds only ciphertext.

Restoring

  • Same device: Backup and export > Backups on this device > Restore. A safety backup of current data is made first.
  • New or reset device: install Counterbook, choose Restore from backup, pick the file, enter the password or phrase, then sign in with a staff PIN.

Moving to a new device

Make a password-protected backup, restore it on the new device, check a few sales and logins, then stop using the old one. Do not run both as separate copies. To use two devices together, use the web till or Join a business.

Test your backups

Once a month, restore the latest backup on a spare device and confirm sales, stock and staff logins are present.

What you need to do

  • Give every person their own PIN and the least access that does the job.
  • Deactivate people the day they leave, and rotate PINs you suspect are known.
  • Review the activity log weekly.
  • Use a Windows password or Android screen lock, keep the system updated, and enable disk encryption.
  • Keep the recovery phrase on paper, away from the device, and never type it into websites or chats.
  • Use a long, unique backup password.

The web till

  1. Turn it on only when needed.
  2. Use a private network you control. Never public Wi-Fi.
  3. Do not forward its port to the internet.
  4. The first browser connection warns about the certificate, which is expected. Check that the fingerprint matches the Web till and devices screen.
  5. Revoke devices you no longer use.
  6. An unlocked browser tab is a signed-in till, so staff sign out when they leave.

Known limits

  • Data is protected at rest and in backups, not against someone watching a signed-in screen or who knows a PIN.
  • The owner PIN cannot be reset from inside the app today.
  • Sync and web till work on one network only.
  • The wrong-PIN count resets when the app restarts.
  • A device with malware is out of scope.

Reporting a problem

Do not post security details publicly. Contact us through More > Support Counterbook and say it is a security report.


Something went wrong or looks odd

I charged the wrong price. How do I fix it?

Void the sale if it should not have happened, or refund part of it, then ring it up again. Both need permission and a reason.

Can I sell something that is out of stock?

That depends on your settings. Stock can go negative and shows as low until you receive more.

Someone forgot their PIN.

The owner or a manager sets a new one in Staff. If the owner forgets theirs there is no reset today.

The till says "Too many attempts".

Five wrong PINs lock that person out for 30 seconds, then longer. Wait, then enter it carefully.

How do I know if someone is cheating?

Check the activity log watch list and filter by person. The log shows what happened, not why, so ask before you accuse.

I lost the recovery phrase.

If the device still works, the owner can view it again in settings. Write it down now.

I restored on a new device and the old one still works.

They are now two separate copies. Keep one, or pair them with Join a business.

The browser says the connection is not private.

Expected, because the certificate is made on your device. Compare the fingerprint with the Web till and devices screen, then continue.

A phone cannot reach the web till.

Check both are on the same Wi-Fi, guest or isolated Wi-Fi is off, and the Windows firewall allowed Counterbook on private networks.

The web till stopped when the Android screen went off.

Keep Counterbook in the foreground notification, exclude it from battery saving and keep the phone plugged in.

The app says the data is from a newer version.

Update Counterbook on this device.
